Computer Disposal Procedure

Securely dispose of company computers while ensuring they are removed from management systems and prepared for certified recycling. Compliance requirement.

Prerequisites

  1. Device has been approved for disposal.
  2. Any required user data has been backed up or transferred.
  3. The computer is no longer assigned to an active employee.

Remove Device from Microsoft Intune

  1. Sign in to the Microsoft Intune Admin Center.
  2. Navigate to Devices > All Devices.
  3. Locate the computer by hostname or serial number.
  4. Select the device.
  5. Choose Delete to remove the device from Intune.
  6. Remove the computer’s serial number under enrollment within the device’s settings.

Reset the Computer

  1. Perform a factory reset within Intune.
  2. Allow the reset process to complete successfully.
  3. Verify the device boots to the Windows Out-of-Box Experience (OOBE) or initial setup screen, confirming all company data has been removed.

Coordinate Recycling

  1. Once the device has been removed from Intune and successfully reset, contact the MSP (BitxBit). Reach out to Rob Bello or Kevin Tomlin.
  2. Coordinate with BitxBit to schedule pickup or delivery to the approved electronics recycling company.
  3. Maintain a record of disposed devices for inventory and audit purposes. BitxBit typically provides an invoice for disposal records.

Verification Checklist

Before the computer leaves company possession, confirm the following.

  • Device removed from Microsoft Intune
  • Serial number removed
  • Asset records updated
  • Computer successfully reset and verified at the Windows setup screen
  • MSP contacted to coordinate recycling
  • Device transferred to the approved recycling vendor

Critical Notes

Do NOT recycle any computer until it has been successfully reset and verified. Failure to wipe the device of confidential data will result in a compliance violation and potential SEC reporting requirements.

If the device cannot be reset due to hardware failure, notify the IT Manager or Director before coordinating disposal.

Compliance

This procedure is required for SEC compliance. All disposed devices must be documented and tracked for audit purposes.
