UniFLOW Cloud User Setup Guide

Purpose

This guide outlines the process for provisioning a user in UniFLOW Cloud and registering their keycard for secure printing.

User Provisioning

  1. Sign in to the Microsoft 365 Admin Center.
  2. Navigate to Users > Active Users.
  3. Select the user that requires UniFLOW Cloud access.
  4. Select Manage Groups.
  5. Add the user to the following groups:
    • UniFLOW Cloud
    • UniFLOW Software Push
    • UniFLOW Software Push – Device
  6. Save the changes.

Synchronization

Allow approximately 30 minutes for synchronization to complete.

During this time:

  • The UniFLOW software will be deployed to the user’s computer.
  • The user will receive a registration email from UniFLOW Cloud.

The email will contain:

  • A registration code used to associate their keycard.
  • A 6-digit PIN that can be used for printer authentication if a keycard is unavailable.

Keycard Registration

Once the user has received their registration email:

  1. Go to any UniFLOW-enabled printer.
  2. Scan the user’s keycard.
  3. Enter the registration code provided in the UniFLOW email. You can also use the 6-digit PIN instead of the registration code to register.
  4. Scan the keycard a second time to complete the registration process.

Note: The 6-digit PIN can be found in the UniFLOW Cloud settings under each user.

Authentication Methods

After registration is complete, users can authenticate at any UniFLOW-enabled printer by:

  • Scanning their registered keycard, or
  • Entering their assigned 6-digit PIN.

Verification

To verify the setup was successful:

  1. Confirm the user can log in to the printer using their keycard.
  2. Confirm the user can log in using their 6-digit PIN.
  3. Confirm print jobs are visible and can be released from the printer.

Troubleshooting

User Cannot Print

Confirm the user has OPBFG-Printing as a print option.

User Not Recognized by UniFLOW

  1. Go into the UniFLOW system tray settings. Right click on the system tray and select UniFLOW Smart Client settings.
  2. Select Re-Register at the bottom left of the UniFLOW Smart Client window.

User Not Signed Into UniFLOW

  1. Have the user navigate into their Okta Dashboard.
  2. Open OnePointBFG-Printing.
  3. Continue with OnePointBFG as the sign-in method.

General Issues

Restart the user’s computer and allow 5-10 minutes for UniFLOW services to reinitialize.
